Follow the rhythm of NCCS:

  • 2 person teams: 1 does the wet work, 1 the dry teams of
  • 3 people 1 does the dry work, 1 does the bathrooms and 1 does the kitchen then begins to vacuum.
  • It is the team leader’s job to assign or delegate responsibilities around the house.
  • Cleaning Technician Communication- When extra time is needed.
  • Excess communication in the house.
  • Clear communication.
  • Follow the directions on the work order, read the work order before entering the home.
  • Over-cleaning or cleaning areas that are not in work order without calling the office.
  • Be prepared with sufficient supplies and equipment.

 

Tips for managing your time in deep cleaning:

30-minute call or text ahead… 

Some clients request a 30-minute call or text ahead to let them know when you on are the way. A 30-minute call/Text ahead must be done 30 minutes before arriving at the home.  

Example: Called at 1 PM and arrival at 1:30 PM

Example: Hello, this is Naturalcare Cleaning Service giving you a 30 minutes heads up we are on the way! See you soon!

Lockout policy 

After you have done your 30-minute call or text ahead and arrive in the client’s home knock on the door/ring the doorbell. If you are unable to get into the client’s home and do not have an assigned key you must call the office RIGHT AWAY. Do not wait 10- 15 minutes until you let the office know.

If your call ahead is done at 1 PM you cannot arrive until 1:30. After a few minutes of trying to get in- CALL THE OFFICE. The office will then

  • Call
  • Text
  • Email

The client to get in touch with them. As soon as you call the office your 30-minute wait starts.

Example:

  • Call ahead at 1 PM
  • Arrived at 1:30 PM
  • Called office at 1:35 PM

If a client has not replied or let you in by 2:05 PM- that house is considered a LOCKOUT. You must call the office once your 30-minutes are up before leaving the house.

A lockout pays 1 man-hour of your current rate

Evaluating a Home

As the Team Lead, one of your responsibilities is to make sure that you are evaluating IDC homes as soon as you notice that you might need to ask for more time.

On the work order, you MUST cross off the rooms that you have already completed, and then write an estimated time that you will be in each room on your work order.  When Candice calls a client to ask for more time, she MUST know why the home is taking longer than expected so she can tell the client.

**Asking for more time is also asking for more money from the client.  Because of this, we must have a valid reason for being in the home longer than expected.

In the same fashion, if you are continuously going overtime in a particular home that you have on your regular schedule, and you feel that the home is underbid, you must write the amount of time you are taking in each room, and any reasons that are causing you to take extra time on the Time In-Home form.

IE: “Just got a new dog – dog hair is intense and is taking extra time to vacuum under and behind furniture.”

When you return to the office, make a copy of the work order and staple it to the Time In-Home form, and place it in Candice’s box.  She will review the information you provided about the home and decide whether the home needs to be reevaluated.

Time

Example:         4.25

  • Hours. Minutes
  • .25 = 15 minutes
  • .50 = 30 minutes
  • .75 = 45 minutes

How to convert:

4.78 Man Hours – Which is 4 hours, and you take the .78 and multiply it by 60 which equals 46.8 minutes (Which you round up to 4 hours and 47 minutes

When adding time to your clean:

Your house is 5.5 Man Hours and you have 2 cleaning techs:

  • That is 2 hours and 45 minutes for 2 people
  • That is 1 hour and 49.8 minutes for 3 people.

EXAMPLE:  If you and your partner are in a home and call to request an extra HOUR, that is actually TWO-man hours (you and your partner.)  If you call and request an extra TWO hours, that is actually FOUR Man Hours (you and your partner.)

If you call and only need another 30 minutes, you should call and request an extra MAN HOUR.

Managing Time

It is very important to be aware of your time all day long.  If you don’t pay attention to this, you can cause your team to work an extra-long day. Your time is valuable!  If you go over to a client’s home for more than 15 minutes, call the office. Before you call the office to request extra time, get your work order and mark off the rooms that are complete.  Then, walk through the house and mark on the work order how much time is needed for each room.  Add it up and call the office.
